Section 01Who this policy covers
This Acceptable Use Policy applies to everyone who uses a Sunflow Booths service: the client who books
the booth, anyone acting on the client's behalf such as a planner or venue coordinator, every guest who
steps in front of the camera, and every visitor to sunflowbooths.com.
Sunflow Booths is a brand of Sunflow Media Productions LLC, based in Ann Arbor, Michigan. In this policy,
"we" and "us" mean Sunflow Media Productions LLC, and "you" means the person or organization using our
services.
If you book us, you agree to share the relevant parts of this policy with the people running your event.
You remain responsible for the conduct of your guests while our equipment and staff are on site.
Section 02Booking and communication
When you book with us, give accurate information: the correct date, venue address, guest count, contact
numbers and any details that affect setup. Wrong or missing information is the most common reason a booth
arrives late or cannot be set up as planned.
You agree not to:
- Book a date using someone else's name, payment method or contact details without their permission.
- Hold multiple dates with no intention of confirming one of them.
- Resell, sublet or transfer a booking to another party without telling us first.
- Send abusive, threatening or harassing messages to our team by phone, email, text or social media.
We answer messages from real people, in order. We may decline or end a booking where communication
becomes abusive.
Section 03Conduct at the booth
The booth sits in the middle of your event, often with a line of people waiting. These rules keep that
line moving and keep everyone comfortable.
The following are not allowed at or around our booths:
- Harassing, threatening, groping or intimidating other guests or our staff.
- Pulling someone into the booth, or photographing someone who has said no.
- Nudity, sexual acts or sexually explicit posing.
- Hate symbols, slurs, or messages targeting a person or group by race, religion, national origin,
gender, gender identity, sexual orientation, disability or age.
- Displaying weapons, real or replica, in the frame.
- Using the booth to stage, celebrate or document illegal activity.
- Bringing drinks, food, confetti, glitter, sparklers or open flame inside the booth area.
- Climbing on, sitting on, leaning against or moving the booth, backdrop, lighting or 360 platform.
- Blocking the booth so other guests cannot use it.
Guests who are visibly unsteady on their feet will not be allowed on the 360 platform. This is a safety
rule, not a judgement, and our attendant's decision on it is final.
Section 04Equipment, power and space
Our booths are professional equipment. To run one safely at your event, we need the following from you or
your venue:
- A level indoor surface, with the space confirmed for your booth during planning.
- A standard grounded outlet within 25 feet of the setup point, on a circuit we do not share with a DJ
rig, kitchen equipment or heaters.
- Clear access for load-in and load-out, and somewhere to park within reasonable distance.
- Cover overhead and a dry surface underfoot for any outdoor setup, plus a backup indoor location.
Only our staff may operate, move, unplug, adjust or repair the equipment. If a guest damages the booth,
the backdrop, the lighting, the printer or any accessory, the client who booked the event is responsible
for the repair or replacement cost.
Weather and venue limits. We will tell you during planning if a space cannot safely
hold a booth. Where a venue refuses access, cuts power, or the conditions become unsafe, we will work
with you on the nearest workable alternative.
Section 05Photo and video content
Everything printed, saved or shared from our booths has to meet the same standard: nothing illegal,
nothing sexually explicit, nothing that harasses or degrades a person or group.
This applies to poses, props, signs, clothing, custom overlays, backdrops and any text a guest adds on
screen. It also applies to custom print designs and branding you supply to us, which must be yours to use
or properly licensed.
Our attendant may decline to print, reprint or deliver an image that breaks these rules, and may delete
it from the gallery. We will handle that quietly and without embarrassing anyone where we can.
Section 06AI booth and likeness
Our AI booth restyles a guest's own photo into a chosen look. It works from the picture taken in the
moment, at your event, with that guest standing in front of the camera.
It may not be used to:
- Generate an image of someone who is not present and did not step up to the camera.
- Restyle a photo of a public figure, a celebrity or anyone else brought in from a phone.
- Produce sexualized imagery, or any AI image of a guest under 18 beyond the standard event styles.
- Create an image intended to deceive — a fake endorsement, a fake news image, or a fake document.
- Depict a real person doing something they did not do, in a way a viewer would take as real.
Guests choose their own style at the screen, and a guest can ask our attendant to delete their AI image
on the spot.
Section 07Galleries, sharing and downloads
Your full gallery arrives within 48 hours of the event. The gallery link is for you and your guests.
When using a gallery, you agree not to:
- Post the link publicly — on a public social account, a forum or a website — if your event was private.
- Download other people's photos in bulk to use for anything other than sharing the memory.
- Edit a photo of another guest to mock, sexualize or misrepresent them, then share it as if it came
from the event.
- Strip our branding from a print design and present the work as another company's.
- Sell images from the gallery, or license them to a third party, without our written permission.
If you want a gallery taken offline, or a specific image removed, email us and we will do it. Guests can
make the same request for photos they appear in.
Section 08Ownership and image use
You and your guests keep the right to use your event photos personally: printing them, posting them,
sending them to family. We do not charge for that and we do not limit it.
We own the copyright in the photographs, videos and print designs we produce, along with our templates,
overlays, software, website content and brand marks. Nothing here transfers that ownership to you.
We may use a small selection of event images in our own portfolio, website, social media and advertising.
If you would rather we did not, tell us before the event or any time afterwards, and we will keep your
event out of our marketing. Guests may ask to have a specific photo of themselves removed from our
marketing at any time.
Section 09Guests under 18
Plenty of our events are family events, school events and graduations, and children love the booth.
At events with guests under 18, the client is responsible for appropriate adult supervision around the
booth. We do not use images of identifiable minors in our marketing without written permission from a
parent or guardian.
Our website and online services are meant for adults, and we do not knowingly collect personal
information from children under 13 through the site. How we handle personal information is set out in our
Privacy Policy.
Section 10Safety and our right to pause
Our attendant stays with the booth all night. Part of their job is keeping the area safe.
We may pause or stop the booth, without a refund for the time lost, if:
- A guest or staff member is being harassed, threatened or put at risk.
- Guests will not stop handling the equipment after being asked.
- The power supply, flooring or surrounding conditions become unsafe.
- Our attendant is subjected to abuse, discrimination or unwanted physical contact.
- We are asked to operate in a way that breaks the law or this policy.
We will always try to solve the problem first and speak to the client or planner before stopping
anything. Stopping a booth is a last resort, and in nineteen years it has rarely come to that.
Section 11Website and online use
You are welcome to browse sunflowbooths.com, read it, quote a short passage with a link back, and contact
us through the forms.
You may not:
- Copy our page text, package descriptions, photos or designs onto another business's website.
- Scrape the site in bulk, or use automated tools that degrade it for other visitors.
- Attempt to access areas of the site, servers or accounts you have no permission to use.
- Upload malware, or probe the site for vulnerabilities without our written permission.
- Submit forms with false details, spam, or someone else's contact information.
- Use our name, logo or images in a way that suggests we endorse or partner with you when we do not.
Section 12Reporting a problem
If something goes wrong — a photo of you that should not be out there, a gallery link that has spread
further than it should, behaviour at a booth, or content that breaks these rules — tell us and we will act.
Email [email protected] with the event name or date, a description
of the problem, and a link or photo reference if you have one. During an event, speak to the attendant at
the booth: they can act immediately.
We aim to respond to reports within one business day, and to remove genuinely harmful content as soon as
we have verified it.
Section 13Enforcement
Where this policy is broken, our response fits what happened. Depending on the situation we may:
- Ask the person to stop, which usually settles it.
- Decline to print, deliver or keep a specific image.
- Remove content from a gallery, or take a gallery link offline.
- Pause the booth, or end service for the remainder of the event.
- Charge the client for damage to equipment, per section 4.
- Decline future bookings.
- Report conduct to the venue or to law enforcement where the law requires it or someone is at risk.
Nothing in this section limits any other right or remedy available to us under our
Terms & Conditions or applicable law.
Section 14Changes to this policy
We may update this policy as our services change — new booth types, new galleries, new legal
requirements. When we do, we post the revised version at this same address and update the "last updated"
date at the top of the page.
The version published here on the date of your event is the one that applies to that event. Material
changes affecting a booking already confirmed will be sent to the client by email.
